Position Summary
The Benefits Coordinator administers employee benefit programs such as group health, flexible spending accounts, dental and vision, accident and disability, life insurance, and 403(b). The Benefits Coordinator monitors benefit administration and provides customer service for internal and external customers. The Benefits Coordinator also provides administrative support to the VP of Human Resources assisting in human resources and compliance.

The only agency of its kind in the state, Hemophilia of Georgia works to enhance clients' care and quality of life while actively pursuing a cure through research funding.

HoG's nonprofit pharmacy provides convenient home delivery of clotting factor and other medications at competitive prices.
Hemophilia of Georgia is guided by a volunteer Board of Directors that includes individuals who have bleeding disorders. For more than 40 years, the Hemophilia of Georgia staff has provided a wide range of programs and services including blood clotting products, home infusion training, education, and activities for people who have hemophilia and other bleeding disorders.

Ideal Candidate
Minimum of 2 years of HR experience including benefits coordination or management
Bachelor’s degree required or equivalent combination of experience and education
Demonstrated knowledge of ERISA, COBRA, HIPAA, FMLA, ADA, WC, and other benefit laws and regulations
Knowledge of benefits contract language
Detail-oriented and superior organizational skills
Strong analytical skills
Proven ability as a critical thinker and problem solver
Strong written and verbal communication skills
Proficiency in Microsoft Office Suite
Ability to lift and carry up to 30 pounds
Essential Responsibilities
HR/Benefits
Serve as the primary contact for benefit plan vendors and third-party administrators.
Implement new benefit programs; arrange and conduct employee information presentations and enrollments.
Conduct benefit orientation meetings for new employees.
Enroll new employees in HoG’s benefit plans.
Work with Controller to ensure benefits selections and changes are entered correctly for payroll deduction.
Develop communication tools to enhance employees’ understanding of benefit plans.
Provide benefits-related communication materials and memos to staff. Ensure distribution of required employee notices.
Ensure the plans run smoothly by investigating discrepancies and/or problems identified by participants.
Make recommendation on the improvement of existing benefit programs.
Verify the monthly premium statements for all group insurance policies and maintain statistical data relative to premiums and costs. Resolve administrative problems with carrier representatives.
Schedule annual meeting to review employee benefits with insurance broker and VP of HR, VP of Operations, and CEO.
Coordinate the annual benefits open enrollment program.
Administer and coordinate the processing of short-term disability benefits and leave programs. Coordinate and monitor the processing of claims. Work with medical consultants to ensure all information is provided to process claims and manage receipt of applicable benefits.
File worker’s compensation claims.
Explain COBRA, 403(b) and flexible spending plans to employees leaving the agency. If programs are outsourced, ensure proper termination information is provided to outsourcing company.
Keep VP of Human Resources informed about all employee benefit issues or problems with any programs.
Administer agency’s 403(b) plan including loans.
Review 403(b) sign-up forms and copy to Controller for payroll processing.
Arrange annual meeting for Retirement Plan committee. Keep committee informed between meetings of fund changes or other issues of importance.
Process and keep records of 403(b) plan enrollments. Monitor and update requested contribution changes. Work with Controller to ensure contribution changes are recorded.
Plan and coordinate 403(b) employee-education meetings. Coordinate with third-party administrator and Retirement Plan Committee to design and distribute materials for meetings.
Prepare and maintain employee benefits files, ensuring accuracy, compliance and confidentiality and that all filing is done in a timely matter.
Assist the VP of Human Resources in all aspects of the hiring process as required.
Provide general administrative support such as preparing correspondence, forms and reports, arranging meetings, processing confidential reports and documents, tracking deadlines, and taking down minutes as needed.
Compliance
Review HoG’s Bloodborne Pathogen Exposure Control Plan annually and revise as needed. Ensure OSHA Bloodborne Pathogen Exposure Control Plan is accessible to all employees.
Maintain Safety Data Sheets for office and Pharmacy as required by OSHA. Review annually and update as needed.
Prepare and maintain records of serious occupational injuries and illnesses, using the OSHA 300 Log. Ensure OSHA reporting occurs annually, and Log is posted as required.
Maintain Variance Reports completed by staff when an “incident” (e.g., accident, injury) occurs.
Document that staff professional licenses/certifications are current.
Assist in other compliance activities as required.
