Work is performed under supervision of manager\/supervisor. Responsibilities include secretarial\/administrative work that requires advanced communication and secretarial skills. Monitors and performs accurate indexing, scanning and quality control of investigative documents and case files. Reviews case preparation and processing, including the compilation of investigative documents into a final investigative report template. Ensures deadlines are met and cases are processed in accordance with internal timeframes.\u00a0 Maintains work assignments, production and work flow. Prepares investigative case reports and correspondence and proofs all written material for office staff, utilizing word processing\/typing skills. Receive incoming case files from which regional office working files and related reference records are prepared. Copies and prepares all work for transmittal in accordance with policies and procedures. Maintains current card index and case files for easy access and reference. Develops and maintains a working knowledge of all appropriate agency computer programs. Compiles statistics, coordinates information, and produces reports for management. Assigned Purchasing Card responsibilities. Position is responsible for the preparation of purchasing and the approval of purchasing. Maintains purchase orders, invoices and billings, reimbursements request, travel vouchers and daily activity reports. Acts as the personnel liaison for the office. Assists investigative staff with orientation and paperwork for employment. Receives incoming calls, answers routine questions, greets public and makes referrals to appropriate staff member or to other agencies. Processes all incoming\/outgoing mail. Acts as the property delegate, insuring accurate records are maintained. Responsible for surplus equipment processing and handling incoming new equipment. Oversees all supplies, furniture and equipment, including computer needs equipment repairs, forms management and implementation. Maintains an adequate inventory of forms and office supplies. Performs other related duties as required. KNOWLEDGE, SKILLS AND ABILITIES Ability to plan, organize and coordinate work assignments; Proficient computer skills to include MS Word, Outlook, Excel and PowerPoint; Knowledge of administrative principles and practices; Knowledge of office procedures and practices; Understands written sentences and paragraphs in work related documents; Talking to others to effectively convey information; Listening to what other people are saying and asking questions as appropriate; Knowledge of the structure and content of the English language including the meaning and spelling of words, rules of composition, and grammar; Attention to detail; Ability to effectively manage time.Ability to effectively manage time.
