Legal Administrator
Duties: Responsible for overseeing the administrative operations of the Office of the General Counsel. Reports to the University General Counsel and works with highly confidential information affecting all aspects of university operations on all campuses. Responsibility for the organization and maintenance of the files in the Lawrence office of the OGC and for preparation of the annual budget for both the Lawrence and Kansas City offices. Support, formatting of legal documents (i.e., pleadings, discovery documents, contracts, and legal memoranda) editing drafts, proofreading, and preparing final copies for signature, monitoring office expenditures, and supervision of the administrative associate in the Lawrence office. Responsible for the filing of court documents (including electronic filing), sorting and preparing documents for mailing/distribution, and composing general business letters. Responsible for business operations of the Lawrence campus of the Office of the General Counsel, including assisting with the annual budget preparations for the office budgets for both campus offices. Responsible for monitoring office expenditures, including litigation expenses and travel expenses. Supervises and regularly evaluates the Administrative Assistant in the Lawrence campus GC office. Supervises the contract review program for the Lawrence GC office. Conducts preliminary review of approximately 500 contracts per year, assigns contracts to attorneys in order to maximize utilization of attorney resources, maintain contracts review log for Lawrence campus attorneys. Responsible for developing and supervising the operations of the Worldox electronic legal filing system for both campuses using WDADMIN.exe, which is critical to the ability of attorneys to support the university through access to all legal opinions, contracts, and related documents prepared in support of university administration. Responsible for maintaining Lawrence office and some KU Medical Center, KLETC, and Edwards campus files, paper and electronic, active and archival; keeping electronic and paper file indexes up to date; preparing annual record vulnerability report for IT security. Movement of cartons of paper files to/from storage sites, sites of proceedings, other offices, etc. Organize discovery documents and maintain case folders for all litigation and claims affecting all KU campuses, upload electronic documents to XDD online database and analyze discovery documents using Relativity application; maintain the litigation calendar re: upcoming depositions, conferences, filings; file briefs electronically in U. S. District Court and personally with Douglas County District Court, Kansas Court of Appeals; in cooperation with other KU units, prepare responses to records requests and subpoenas. Maintains the calendar tickler in MS Outlook, keeping the GC and senior administrators of the university informed daily of upcoming contract expirations or renewals, scheduled payments under contracts, regulatory deadlines, required reports, license fees, tax exemption certificate, trademark and service mark registration maintenance and renewals, FCC licenses, etc. Handles initial stages of receipting of gifts to the university received via wills and trusts. Corresponds directly with attorneys, banks, trustees, and other representatives of donors to the university and receives, accounts for, and transfers significant sums of money intended for university endowments. Tracks the status of distributions and handles routine correspondence in estates and trusts involving bequests to the University and the Medical Center; prepares Memoranda of Approval to transfer real and personal property to KUEA. Maintains databases on lawsuits and agency complaints, patents, estates, outside counsel expenses, trademarks, property transfers to KUEA. Tracks monthly expenditures in both offices, assists with preparation of annual budget requests for Lawrence and Medical Center offices, prepares and submit any unclaimed property claims for the University ; Maintains database of student bankruptcies and collection suits and prepares the related routine correspondence between GC office and the Comptroller's office. Routine correspondence, scanning, copying, creating merge documents, using MSWord, Excel, Adobe Acrobat; courier duties to courts, other law offices; Staff support for employment searches using HR/Pay system. Prepare from boilerplate routine legal documents, e.g., deeds of gift, subpoenas, property deeds, easements, waiver and release forms; file new deeds with the Register of Deeds. Keep GC website up-to-date and do legal research on the Internet re: regulatory changes, pending legislation, AG opinions, statutes in other states, policies or news at other universities, etc.
